Student Center Reservation Guidelines

  1. Check space availability by contacting the Scheduling Office at 405-945-3238.
     
  2. Please be prepared to provide the following information:
     
    • Name of event
    • Room requested
    • Date of event
    • Time of event
    • Contact and billing information
    • Type of Event
    • Notification of catering needs
    • Expected number of people in attendance
    • Room setup information
    • Audio-visual equipment needs
    • Any special needs or requests
       
  3. A Student Center Room Reservation form will be completed and a copy sent to you for verification and confirmation. In the case of OSU-OKC sponsored events for off-campus groups, a Vice President's signature will be required to affirm the sponsorship. A reservation fee in the amount of the normal room rental fee may be required from off-campus groups at the time of reservation confirmation.
     
  4. A Facility Use Agreement form must be signed by all off-campus groups and returned to the Scheduling Office. This agreement may also be required of campus groups at the discretion of the Student Center Director.
     
  5. If catering is requested, contact the Catering Department, (405) 945-3238, to plan the menu. This should be done at least 10 business days prior to the event and 14 business days prior to the event if a group of 200 or more is to be served. A guaranteed number of attendance is required 3 business days prior to the event. You will be charged the amount of the guaranteed number or the number served, whichever is greater.
     
  6. Any changes to the confirmed Student Center Room Reservation form must be done through the Scheduling Office.
     
  7. Cancellations must be made to the Scheduling Office no later than 3 business days prior to the scheduled event. The Scheduling Office will notify Food Services and other campus services of the cancellation. If cancellations are received after the deadline, a cancellation fee may be assessed. Food service cancellations received 24 hours prior to the event may be assessed a charge of 40% of the guaranteed number. Cancellations received less than 24 hours prior to the event will be charged 100% of the guaranteed number.
